Set Up Your Email in
Mail on a Mac

Add your business email to the Mail app that comes with every Mac. Works on macOS Ventura, Sonoma, Sequoia and later — the wording shifts slightly between versions, but the steps are the same.

Replace “yourdomain.co.za” with your own domain If your email is yourname@yourdomain.co.za, your mail server is mail.yourdomain.co.za. Same word after the @, every time.

Getting started

Open Mail and choose “Other Mail Account”

Open the Mail app from your Dock or Launchpad.

  1. If this is the very first account on the Mac, the provider list appears on its own.
  2. If you already have email set up, click Mail in the menu bar at the top of the screen, then Add Account…
  3. Scroll to the bottom and choose Other Mail Account…
  4. Click Continue.
Do not pick Google, iCloud or Exchange Even if you use Gmail elsewhere. Your business email is hosted with us, so it is always Other Mail Account. Choosing the wrong one is the most common reason setup fails.

Fill in the three boxes:

  1. Name — how you want your name to appear to people receiving your email.
  2. Email Address — your full address, including the part after the @.
  3. Password — the password we gave you.

Click Sign In.

Expect it to say it cannot verify the account That is completely normal and does not mean you did anything wrong. The Mac tries to guess the settings, fails, and then shows you the boxes to fill in yourself. That is the next step.

The Mac now shows more boxes. Fill them in exactly:

  1. User Name — your full email address, not just the bit before the @. This trips most people up.
  2. Account Type — choose IMAP.
  3. Incoming Mail Servermail.yourdomain.co.za
  4. Outgoing Mail Server — the same again, mail.yourdomain.co.za

Click Sign In.

Choose IMAP, not POP IMAP keeps your email on the server, so your Mac, your phone and webmail all stay in step — read it on one, it shows as read on the others. POP downloads mail onto one machine and removes it from the rest. If you are ever offered a choice, it is IMAP.

Make sure Mail is ticked. You can leave Notes unticked — it is not part of your email service and only adds clutter.

Click Done.

Your mail may take a few minutes to appear The first sync downloads your folders and recent messages. On a large mailbox this can take a little while. Leave the Mac awake and connected until it settles.

Your email is set up and syncing.

Receiving is only half of it — always check that sending works too.

  1. Click the compose button (the square with a pencil).
  2. Send an email to your own address.
  3. It should arrive within a minute or two.

If it arrives, you are done — both directions are working.

If it will not send Open Mail → Settings → Accounts → Server Settings, and under Outgoing Mail Server untick Automatically manage connection settings. Set the port to 587, tick Use TLS/SSL, set Authentication to Password, and make sure the user name is your full email address. Save and try again.
